Effective and last updated: July 30, 2026.

Website Privacy Policy

This Website Privacy Policy describes how TotalCare Walk-In Clinic (“TotalCare,” “we,” “us,” or “our”) collects, uses, and shares personal information through totalcarenow.com, related subdomains (including scheduling and bill-pay experiences we control), and online forms linked from our website.

Important: This Website Privacy Policy covers online/website data practices. Our clinical uses and disclosures of protected health information (PHI) are described separately in the HIPAA Notice of Privacy Practices below.

Information we collect

Depending on how you use the site, we may collect:

  • Contact and identity information — name, email address, phone number, date of birth, mailing address.
  • Appointment and inquiry information — preferred location, appointment time, reason for visit, or other free-text you submit.
  • Billing and transaction information — amount paid, order/payment references, and related checkout details processed by our payment providers.
  • Account or newsletter information — email subscriptions and related preferences.
  • Device and usage information — IP address, browser type, device identifiers, pages viewed, referring URLs, and approximate location derived from IP.
  • Cookies and similar technologies — see Cookies section below.

Please do not submit sensitive clinical documents or other PHI through consumer email, consumer Google Forms, or unsecured uploads. Use clinic-approved secure channels.

How we use information

  • Operate, secure, and improve the website and online services.
  • Respond to inquiries and provide requested information.
  • Schedule appointments and send transactional appointment SMS/email confirmations when you opt in.
  • Process payments and prevent fraud.
  • Send newsletters or marketing communications where permitted and with unsubscribe options.
  • Analyze site performance and, where enabled, measure advertising/attribution.
  • Comply with law, enforce terms, and protect patients, staff, and the public.

How we share information

We share personal information with service providers that help us run the website and related services, such as website hosting and security, scheduling and communications vendors, payment processors, analytics/consent-management/advertising technologies when enabled, and professional advisors or authorities when required by law.

We do not sell personal information for money. Some advertising or analytics technologies may be considered a “sale” or “sharing” under the California Consumer Privacy Act / CPRA. If applicable, we will provide a “Do Not Sell or Share My Personal Information” mechanism and honor Global Privacy Control (GPC) signals to the extent required.

Cookies, pixels, and similar technologies

We and our service providers may use cookies, pixels, local storage, and similar technologies for essential site functions and security; remembering preferences; analytics and performance measurement; and advertising or order/attribution measurement when enabled.

You can manage non-essential cookies through our cookie banner/preferences tool where available, and through your browser settings. Blocking some cookies may affect site features.

We use the consent tool “Real Cookie Banner” to help manage cookie categories and related consents. Details about that tool’s processing are described by its vendor at https://devowl.io/rcb/data-processing/.

Browser “Do Not Track” (DNT) signals are not uniformly standardized. Third-party technologies may load depending on your cookie choices and enabled site features.

SMS messaging privacy notice

When you schedule an appointment through our online scheduling system, we may collect your mobile phone number and consent records to send transactional SMS appointment confirmation messages.

  • Uses: appointment confirmation details; STOP/HELP handling; compliance recordkeeping.
  • Frequency: up to 1 SMS message per scheduled appointment.
  • Rates: message and data rates may apply.
  • Opt-out / help: reply STOP to opt out; reply HELP or call (909) 591-8200 for help.

When booking online, please also review our Terms (including SMS Program Terms) and this page’s HIPAA Notice of Privacy Practices.

Email / CAN-SPAM

If you subscribe to email marketing, we may send promotional messages. You can unsubscribe using the link in those emails. Transactional messages related to appointments or services may still be sent as needed.

We retain website and operational records for as long as needed for the purposes described above, to meet legal or medical record obligations where applicable, resolve disputes, and enforce agreements. Retention periods vary by record type.

Children and minors

Our website may be used by parents or legal guardians seeking care for minors. We do not knowingly collect personal information online directly from children under 13 for marketing. Guardians may submit information needed to request care for a minor through approved channels.
